A clear brief is the fastest route to an accurate quotation and the best protection against linen that does not fit, does not last or runs out in peak season. Use this checklist before requesting quotes.

1. Count beds and bathrooms by type

List every room category with its bed sizes and number of bathrooms. A King room, a Twin room and a two-bedroom suite need different quantities and sizes.

2. Set your par level

Par is the number of complete linen sets you hold for each bed or bathroom. A common starting point is:

  • 1 par in the room,
  • 1 par in the laundry,
  • 1 par in storage, ready for the next change.

Many hotels hold three to five par. Hold more if your laundry is off site, turnaround is slow, occupancy is seasonal or your property is remote. Multiply par by your bed and bathroom counts to get order quantities per item.

3. Measure, don't assume

  • Mattress width, length and depth (including toppers) for fitted sheets.
  • Duvet inner and pillow inner dimensions.
  • Preferred tuck allowance for flat sheets.

Bed sizes differ between countries - an Australian Queen is not a US Queen - so actual measurements are more reliable than size names.

4. Specify by room category

  • Thread count and weave for sheets, duvet covers and pillow covers (see our thread count guide).
  • GSM and sizes for bath towels, hand towels, face towels and bath mats (see our towel GSM guide).
  • Colour: white, or custom colours and borders.

5. Decide on branding

Logo embroidery, contrast borders and piping should be specified up front, with artwork, colours and the position on each item.

6. Involve your laundry

Whether laundry is on site or outsourced, ask about wash temperatures, chemistry and finishing. They affect which fabrics will last.

7. Sample before you commit

Put samples through your own laundry several times and check shrinkage, colour, feel and seams before approving bulk production.

8. Plan delivery around your calendar

Allow for production, packing and shipping before peak season or an opening date. Agree packaging and labelling so stock is easy to receive and store.
